The 3-2-1 Backup Rule for Small Businesses, Explained Simply

A usable backup should protect against hardware failure, theft, ransomware and human error—not just copy files to another folder.

A backup is only useful if it survives the same incident that damages the original. That is why small businesses need more than one USB drive left beside the computer.

What 3-2-1 means

  • 3 copies: your working data plus two backups
  • 2 types of storage: for example a computer and a NAS or external drive
  • 1 copy off-site: protected from theft, fire and local equipment failure

Cloud sync is not always a backup

Sync services are useful, but a deletion or unwanted change can sometimes synchronize too. Confirm how long previous versions and deleted files remain available. Critical systems may need a separate, versioned backup.

Back up the systems people forget

Include accounting data, email where appropriate, shared folders, line-of-business applications, device configurations and any files stored only on individual workstations.

Test the restore

A green check mark is not enough. Periodically recover a sample file and document who is responsible for responding when something fails. The goal is not simply to create backups; it is to restore operations.
